How to delete Assessment Occurrences


It is sometimes necessary to delete Assessment Occurrences if marks haven't yet been entered.  If a new version of a module is created, re-linking can't happen if assessment occurrences have been generated.  The Exams Office will usually be in a position to delete these, but this is how it needs to be done. 

  1. If the assessments have been delegated to a module tutor group, then they will need to be undelegated.  The following instructions can be used if no marks have yet been entered. 
  2. Go to the 'Module Assessments (Super User) form' SSTU0168.  Select the relevant module, this will give you all versions of the module.  Select the version that you want to remove the module occurrences for
  3. Click the CWK assessments link and then click on the 'Occurrences' button.  You will be able to access the generated coursework assessment occurrences by year.  Select the year that you want
  4. Delete the coursework assessment occurrences for that year
  5. You will then need to delete the assessment occurrence itself.  This happens in the form called 'Exams: Module Assessments by Module' SSTU0151
  6. Select the relevant course and click on the Assessment Modes tab.  Click the Delete button
  7. At this point you should be able to relink the teaching groups to the new version of the module.  The assessments will appear as greyed out in Sussex Direct.
  8. Now the assessment occurrences will need to be set up again.  You can do this using the forms Module Assessment Set Up (SSTU0144) and Coursework Assessment Set Up (SSTU0145).
  9. Don't forget to re-delegate to the course tutor groups after this has happened.
